• Google Services: Including Gmail (for client communication), Google Calendar (for scheduling), and Google Analytics (for anonymous website traffic insights)

All data is stored securely on encrypted servers and protected by password access. Access is limited to authorised personnel only. We take reasonable steps to protect your information from misuse, loss, unauthorised access, or disclosure.

 

Use of AI-Assisted Note-Taking

We may use secure, AI-powered clinical software (e.g., Heidi Health) to assist with note-taking during consultations. The following applies:

• The recordings are stored temporarily (for note generation only).

• They do not include identifying information such as your full name or contact details.

• All recordings are automatically deleted within 48 hours. This process is designed to streamline documentation while maintaining your confidentiality.

 

Why We Collect This Information

• Provide appropriate naturopathic care and treatment

• Communicate with you regarding appointments, treatment plans, or follow-ups

• Process payments and manage supplement prescriptions

• Comply with any legal or professional obligations

 

Third Parties

• Heidi Health, Vital.ly, Zoom, Stripe, and Square for service delivery and operations

• Google services, including Gmail, Calendar, and website analytics (Google Analytics). Any data collected via Google Analytics is anonymous and is only used to improve our website and services.

• Functional Testing Labs: We work with functional testing labs such as Nutripath, Cobiome by Microbia, Interclinical Laboratories, I-screen, and BeFunctional for specialised tests or assessments. Information shared with these labs is essential for clinical purposes and handled in accordance with their own privacy policies.

All platforms are required to comply with strict privacy and security standards.

Recording or Filming Sessions

To maintain a safe and respectful environment, it is strictly prohibited for patients or clients to record, video, or audio record any consultation or session without prior written consent. This includes the use of mobile phones, cameras, or any other recording devices during appointments.

Recording without consent may violate both confidentiality and privacy rights, and as such, any unauthorised recording may result in the immediate termination of services and may lead to legal action if required.

If you would like to record a session for your own personal use, please seek written consent beforehand, ensuring that both parties are fully aware of the terms under which such recordings would occur.

We value the privacy and confidentiality of all clients and expect that any recordings made during consultations are conducted in accordance with the highest ethical and legal standards.
